Catering Contract FAQ

What is a final guest count and why does it matter?

The number of guests the client confirms in writing by the deadline, usually seven to fourteen days before the event. The caterer buys food and schedules staff on that number, so it becomes the minimum the client pays for even if fewer people attend. If more guests come than the final count, the client pays for them at the per-guest price, and the caterer may not be able to serve them the full menu. If the client misses the deadline, the estimated count in the contract becomes the final count.

How does the price per head work?

The per-guest price covers the menu described, including food, preparation and standard service ware. Staff, rentals, bar service, cake cutting, service charge and sales tax are listed separately in the contract so the client can see what they are paying for. The service charge is not a tip unless the contract says it is; this agreement says whether staff gratuities are included or at the client’s discretion.

How much deposit does a caterer take?

Twenty-five to fifty percent is usual, and it is non-refundable because the caterer holds the date and turns away other events. Many caterers also take a second payment a month or two out and the balance, based on the final count, about a week before the event. The agreement has all three dates.

Can I leave the guest count and venue details blank for the client?

Yes. Any blank you leave becomes a fill-in field for the client when they open the link, and you see what they entered before you sign. Caterers usually fill in the menu, pricing, staffing and payment terms and leave the venue address, estimated guest count, dietary requirements and client contact details for the client, who knows them.

What happens to leftover food?

The agreement lets the caterer decide, based on food safety, whether leftovers may be packaged for the client. Food that has been held at unsafe temperatures or on a buffet for extended periods cannot be safely kept and will be discarded. Food the client takes is consumed at the client’s risk, and the agreement says so.

Who handles guest allergies?

The client collects dietary requirements from guests and gives them to the caterer with the final count; the caterer labels dishes, prepares special plates for guests identified in advance, and follows safe food handling. The caterer cannot guarantee an allergen-free environment, and the agreement makes that clear so that a guest with a severe allergy can make their own decisions.
